How it works

Everything it does, without jargon

The Digital Brain is your company's memory, organized and always at hand. You talk to it through Claude and it also does tasks for you.

How to talk to it

Ask

Ask in your own words, the way you would say it in the workshop or at the office. It answers and tells you which document it comes from.

  • “Which papers does the accountant need to register a freelancer?”
  • “How often is the workshop lift inspected?”
  • “What do we do if a customer disputes an invoice?”
  • “How do we close the till at the end of the day?”

Ask it to do things

If the task is already in the brain, it follows it step by step. If not, it offers to learn it.

  • “Prepare the quote for a kitchen for this customer.”
  • “Add today's order to the orders spreadsheet.”
  • “The compressor service is now every six months.”
  • “Organize the office folders according to the standards.”

It asks before it acts

The brain changes nothing behind your back. It asks in three ways:

  1. 1

It shows you what it will do

Before changing or adding anything, it tells you in plain words what will change. You confirm once and it does it in one go.

  2. 2

It opens a window for you to choose

When it needs one of your folders or files, a window opens for you to pick it. It never asks you to type where something is.

  3. 3

It asks you to approve permissions

The first time a task needs to touch something on your computer, a window says in normal words what it will be able to do. Risky items are flagged and reject is the default button.

Everything it can do

Find answers

It searches everything it knows and tells you where it got it from. It also answers about a document's history: what changed, who and why.

Do tasks and learn new ones

It follows written procedures the same way every time. If something repeats, explain it, it proposes it in writing and, once you approve it, it learns it.

Change what it knows

A new supplier, a different price: tell it. It shows you the change before making it and the previous version stays in the history.

Take in your company's documents

You choose the folder, it proposes the areas it sees and writes their documents. It reads PDF, Word, Excel, PowerPoint, emails, scans and photos. It does not make one document per file: 400 quotes become a summary and an inventory.

Organize your folders

It proposes an order based on your industry's standards and makes an organized copy. Sensitive files go to a separate folder it does not open.

Find the original

It does not store your files, but it knows where each one is: it tells you the folder and the name.

PDFs with your logo

Set it up once with your template or logo, and the documents you make over and over come out with your look.

Connect software you already use

It first tries with your files. If needed, it uses verified connectors and you decide what it can do alone and what it asks you first.

Password vault

Encrypted and opened with your master password. Tasks take what they need from it; the assistant never sees them.

Several people and locked areas

With a team, up to 10 people. Add and remove people with a sentence, and locked areas are only seen by whoever you say.

Backups

They run by themselves every week, are verified and the last four are kept. If one fails, it tells you.

From your phone and in other languages

Use it from your phone with Claude. It is set up in English or Spanish, and each person can ask in their own language.

What it never does

The underlying rule: the brain keeps the know-how, not the sensitive data.

Health

It never opens medical check-ups, medical reports or sick leave, and never writes a person next to an illness in any document.

Passwords

It does not open files that look like passwords. If it finds one written down, it does not copy it: it warns you. It never asks for one in the conversation.

Personal data

Payslips, contracts or IDs are only opened if you allow it for that folder, and even then without writing people's names.

Your originals

They are never modified. Nothing is installed or connected without your permission, and nothing moves from one brain to another without your “yes”.

How it is set up

  1. 1

You install the Digital Brain extension in Claude Desktop with a double click.

  2. 2

The assistant asks you three questions: the company name, your name and where your brain will live.

  3. 3

You click through a few windows and create the vault's master password.

  4. 4

You start adding your company's documents.

Every brain comes with two guides, as PDFs in your language: one for everyday use, with no IT at all, and a technical one.
